The Judo Life CIO (“we”, “our”, “us”) is committed to protecting your personal information and respecting your privacy. This notice explains how we collect, use, and store personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

The Judo Life CIO is a registered Charitable Incorporated Organisation in England and Wales. Our aim is to make martial arts more accessible for young people by providing funding support for training and equipment.


2. What personal data we collect

We may collect the following types of information:

  • Donors and supporters: name, contact details, donation history, Gift Aid status.
  • Applicants and beneficiaries: referral details, names and ages of young people (where provided by a parent/guardian or referrer), relevant contact information, and information needed to process funding.
  • Website visitors: information you provide when contacting us, and basic technical data such as IP address and cookies (if applicable).
  • Suppliers, partners, and contractors: contact details, bank/payment details where needed.

3. How we use your information

We only use your personal data for purposes connected with our charitable objectives, including:

  • Processing donations and Gift Aid claims.
  • Administering grant applications and awards.
  • Responding to enquiries and communications.
  • Maintaining safeguarding standards.
  • Meeting legal and regulatory requirements.

We will not sell or swap your personal data with any other organisation.


4. Legal basis for processing

We process personal data on the following legal bases:

  • Consent – where you have given clear permission (e.g. to receive newsletters).
  • Contract – where data is necessary to provide a service (e.g. grant payment).
  • Legal obligation – e.g. Gift Aid, safeguarding, or financial reporting.
  • Legitimate interests – where processing is necessary to run the charity effectively and does not override your rights.

5. How we store and protect your data

  • Data is stored securely, using password-protected systems and restricted access.
  • We keep personal data only as long as necessary (e.g. Gift Aid records for 6 years).
  • When no longer required, data is securely deleted or destroyed.

  • Request a copy of the personal data we hold about you.
  • Ask us to correct, delete, or restrict processing of your data.
  • Withdraw consent where we rely on it.
  • Complain to the Information Commissioner’s Office (ICO) if you are unhappy with how your data is handled.
